How does Unomia run a law firm from intake to invoice?

Six steps in one platform, with communication and documents connected to every step and Casey supporting the lawyer throughout.

In short

Unomia runs a law firm in six steps: intake, case and client, tasks and deadlines, time and expenses, invoicing and accounting. Communication and documents are not separate steps: they run through all six, so every message and every file sits with the right case. Casey, the AI coworker, supports every step, and the lawyer always decides.

Six steps, two layers through all of them

For every step: what happens, what communication and documents do in it, and how Casey helps.

1

Intake: from first contact to a qualified client

Leads arrive from your own website forms, also on your existing website, and from email, WhatsApp or phone, and land directly in Unomia. Qualifying questions per practice area show quickly whether a case fits your firm. The lawyer sends the Identiteitscheck from the lead and performs the Wwft check for every new contact.

Every WhatsApp message, email and call lands on the lead, so the whole first contact is in one place. Outside office hours Casey answers and asks the qualifying questions.

The Identiteitscheck result and the intake answers are stored with the lead. The engagement letter goes out for e-signature and comes back signed into the same file.

Qualifies and follows up leads, and flags contacts with potential Wwft risks in the daily briefing. The lawyer decides.

2

Case & Client: one file for the whole case

When the client signs, the lead becomes a client and the case opens with everything collected at intake. The client follows progress and shares files through the client portal.

Outlook and Gmail sync with the case, and WhatsApp messages land in the case file. Every email is linked to the right case, for everyone on the team.

One case folder for correspondence, evidence and court documents. Files are tagged and searchable, and you share them with the client through the portal.

Analyses and summarises the case file, and drafts letters and emails for the lawyer to review.

3

Tasks & Deadlines: nothing slips

Tasks and deadlines are planned per case and follow the workflow of its practice area, such as a joint divorce petition in family law or a dismissal case in employment law. Every practice area can have its own workflow.

Notes, @mentions and messages are kept on each task, so the team discusses the work where the work is.

The documents a task needs are attached to it, such as the court letter that started a deadline.

Monitors deadlines and alerts the team before one is at risk.

4

Time & Expenses: recorded as you work

Time is recorded per case action, with a timer when you need one. Expenses such as court fees are logged against the case.

Calls and emails are logged on the case, so the time they took is easy to record.

Receipts are attached to every expense, and timesheets can be exported per case.

Checks that recorded time and expenses are complete before they go on an invoice.

What runs underneath every step

Practice-area workflows

Every practice area gets its own workflow, for example family, estate or employment law, setting the tasks, deadlines and documents for each type of case.

Integrations

Identiteitscheck, WhatsApp, Outlook, Gmail, phone and AI connect to the steps where they are used. Integrations per country and per practice area are optional.

Security and EU hosting

Each firm has its own environment, hosted in the EU, with access rights per user and per case.

Frequently asked questions

What are the six steps in Unomia?

Intake, Case and Client, Tasks and Deadlines, Time and Expenses, Invoicing and Accounting. Together they form one flow, from the first contact with a client to the booked payment.

Why are communication and documents not separate steps?

Because every step uses them. A WhatsApp message can belong to an intake, a task or an invoice, and Unomia stores it with the step and the case it belongs to. The same is true for every file.

Can I keep my existing website?

Yes. Unomia takes leads from the forms on your existing website, so you do not need a new website to start.

Who decides, Casey or the lawyer?

The lawyer. Casey prepares, summarises and flags, but decisions such as accepting a client or sending an invoice stay with the lawyer.

Is Unomia suitable for a sole practitioner?

Yes. Unomia is priced per user, and Casey handles intake when you are in court or with a client.
