How does document management work in Unomia?

One case folder for every file, from engagement letter to invoice, connected to all six steps.

← How Unomia works

In short

In Unomia, documents are not a separate step. Every file, from the Identiteitscheck result and the signed engagement letter to evidence, court letters, receipts and invoices, is stored with the case it belongs to and can be found from every step. Templates, e-signature and the client portal are built in, and Casey summarises long documents.

Everything a case file needs

Case folder

Every case has one folder for correspondence, evidence, court documents and invoices.

Templates

Engagement letters and standard letters are created from templates, with client and case details filled in.

E-signature

Send an engagement letter or agreement for signature. The signed version comes back into the case.

Client portal

Share files with the client securely, without email attachments.

Tags and search

Files are tagged and searchable across cases, within the access rights of each user.

Casey

Casey summarises long documents and case files, so you are up to speed in minutes.

Documents in every step

One folder, filled step by step as the case moves on.

1

Intake

The Identiteitscheck result and the intake answers are stored with the lead. The engagement letter goes out for e-signature and comes back signed into the same file.

Frequently asked questions

Can I bring my existing case files?

Yes. Existing files can be migrated as part of the implementation. The Success Packs on the services page show what is included.

Who can see which documents?

Access follows the case. Users see the documents of the cases they work on, and clients only see what you share through the portal.

Can clients sign documents online?

Yes. You send the engagement letter or agreement for e-signature, and the signed version is stored in the case automatically.

Where are documents stored?

In your firm’s own environment, hosted in the EU. The security page explains how data is protected.
